How Gridside handles website visits and photography enquiries.
Who is responsible
Gridside Media is operated by Seb Coulthread. For questions about your information, email hello@gridside.media.
Visiting the website
This website is hosted by Cloudflare. The hosting service processes technical information, such as your IP address and request details, to deliver and protect the website.
The site does not add advertising trackers, analytics tools or embedded social feeds. Fonts and photographs are served with the website. No cookies or browser storage are used by the site’s own functionality.
Contacting Gridside
When you submit the enquiry form, your name, email address, brief and any optional driver, team or event details are sent to Web3Forms for delivery to hello@gridside.media. Web3Forms processes the submission and associated technical information to provide the form service and protect it from abuse. Gridside uses your email address to reply. You are not automatically subscribed to marketing.
Web3Forms may retain form submissions according to the retention setting in the Gridside account. Correspondence delivered to Gridside is then held in the business mailbox under the retention periods below. If you use a direct email link instead, your email provider handles that message under its own privacy terms.
When you email Gridside
Your message may include your name, email address, driver or team details, planned event and the information you choose to share. This is used to respond, discuss your requirements and manage an agreed service.
Gridside’s email is provided by Migadu. Correspondence is handled through the email service and the devices used to manage it. Please share only information relevant to your enquiry.
Why the information is used
Enquiry and booking information is used to take steps at your request before a contract and to fulfil a contract if you book. Relevant correspondence may also be used for legitimate interests in managing enquiries and business records. Records required by law are kept for that purpose.
How long it is kept
Unsuccessful enquiries are kept for up to 24 months after the last meaningful contact, to handle follow-up questions and returning race programmes, then deleted unless a specific ongoing dispute or legal obligation requires longer retention. Essential booking and contract records are normally kept for six years after the commission ends. Tax and accounting records are retained for the applicable statutory period, which may be longer. Records are reviewed annually; information no longer needed is deleted sooner where appropriate.
If a separate gallery provider is used for a commission, the relevant delivery and privacy information will be provided with that arrangement.
Your choices and rights
Contact Gridside to ask about your information, request access or correction, or ask for deletion. Depending on the circumstances, you may also have rights to restrict or object to processing and receive a portable copy. These rights are subject to applicable conditions.
You can also raise a concern with the Information Commissioner’s Office.
Changes to this notice
The notice will be updated if the way information is handled changes, including if analytics or a gallery service is added.
